Responsibilities of this role include:
- Supporting UK-based Executive Assistants (EAs) by handling expense claim submissions, reconciling American Express statements, booking meeting rooms, and creating travel itineraries for Partners in compliance with Deloitte policies and systems.
- Responding promptly to ad hoc requests and general inquiries from EAs.
- Managing requests and tickets through the ESS Service Portal (ServiceNow) in line with ESS best practices.
- Following Quality Assurance protocols by properly filing all deliverables and correspondence with EAs and other requestors in designated Microsoft Teams folders.
- Ensuring compliance with the Deloitte UK Travel & Expenses policy.
- Updating service documentation and training materials (such as SOPs, Process Maps, and SIPOCs) when necessary.
- Acting as an out-of-office contact by managing client emails during Senior Directors’ absences.
- Building and maintaining strong relationships with key client EAs.
- Establishing rapport with stakeholders, partners, directors, and staff.
- Providing coverage during holiday and sickness periods.
- Assisting with ad hoc projects and tasks for senior directors and associate partners.
- Collaborating effectively within diverse teams, fostering an inclusive team culture that values individual contributions.
Qualifications
Required:
- Any graduate fresher or candidate with up to 11 months of experience in administrative assistant roles.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong ability to plan, prioritize, and multitask, managing workload under tight deadlines.
- Proactive and creative problem-solving skills with a “think outside the box” mentality.
- Diligent and conscientious, with a keen attention to detail.
- Excellent written and verbal communication skills; capable of drafting correspondence independently.
- Team-oriented mindset.
